The service: we re-check customer files and leave the proof behind.
A payment company or bank gives us customer files that are due for their periodic review. We re-check each one against the firm's own rules, and the firm's MLRO keeps the final say on every file.
What we do and do not do
We do
- Periodic reviews: the regular re-check of existing customers, at the intervals the firm's rules set, and from July 2027 at least as often as the new EU law requires
- Backlogs: files that are overdue or were done badly and need doing again
- Reviews triggered by an event, such as a news story or a change in the customer's business
We do not
- Onboard new customers
- Tune transaction-monitoring software
- Give legal advice
- Promise any outcome with a regulator
Who does what
The firm's MLRO
The money laundering reporting officer is the person legally responsible for these checks. They own the rules and every decision. Nothing closes without their signature in the folder.
Our senior KYC analyst
Works each file against the firm's rules and proposes a decision, with software preparing the evidence.
Our second reviewer
A named person checks the decision and the evidence before anything reaches the MLRO.
Compare with what you have today
| Question | In-house team | Outsourced provider | Nikxius |
|---|---|---|---|
| Who decides | Your MLRO | Usually the provider's reviewer, then your MLRO | Your MLRO, on a file we prepared and a second reviewer checked |
| What comes back per file | A case-tool record | A completed case and a report | A folder a regulator can open offline, every item fingerprinted |
| When a check cannot be done | Noted in the case, if at all | Varies | Recorded with a reason, an owner and a next action, in the folder |
| How a third party checks it | Reads your case tool with you present | Asks the provider | Recomputes the fingerprints, no Nikxius software needed |
| What is not covered | Depends on the team | Depends on the contract | Stated on this page: no onboarding, no monitoring tuning, no legal advice, no promised outcome |
Categories, not named providers. Your own numbers come from the parallel run.
For your MLRO and your supervisor
What you sign
Each file's decision, after our analyst proposed it and a second reviewer checked it. You can send a file back. Nothing closes without your declaration in the folder.
What you can show
The folder: what was checked, against which version of your rules, what was found, what stayed open and who decided. A supervisor can verify it did not change since you signed.
What stays yours
The policy, the risk appetite, the decision and the legal responsibility for them. We prepare evidence; we do not take the MLRO role and we do not give legal advice.
Where the files live
Customer files are stored in Microsoft's Azure data centres in the Netherlands, locked with a key that Nikxius holds in its own vault, with no access from the public internet. Only named people on an engagement can reach them. What is in place and what is not yet is listed on the security page.
Read the security pageWhat the firm gets at the end of a cycle
- A report listing every file, its outcome and every open item
- A folder of evidence per file
- How long each stage took, so the firm can compare us with its current team or provider
- A written list of what could not be completed and why
Evidence supports a decision. It does not make one. The firm's MLRO keeps the final say on every file. Nikxius is not a law firm, an auditor or a regulator. No folder promises a regulatory outcome. The service is looking for its first firms.
Bring one finished file's worth of questions.
We will show what its folder would carry and where your current process would differ.
